Office Administrator (Non-profit) - Part-time
Center for Companies That Care (CTC) is a 501(c)(3) non-profit dedicated to dramatically increasing college graduation rates among under-resourced Chicago youth.
AIM High, Center for Companies That Care’s signature college and career access program, serves low-income, minority, 1st Generation youth and/or disabled youth who have invisible differences to ensure they successfully complete college and are prepared for tomorrow’s workforce. AIM High is a long-term, structured, holistic, multi-faceted, mentoring program dedicated to serving high school and college students’ social, emotional, and academic needs. Intellectually-typical students who have learning disabilities, neurobehavioral disorders or mental health disorders also participate in the Invisible Differences program.

Job Responsibilities (20-25 hrs/week, mainly weekdays)
- Supporting Executive Director and executing ED’s administrative responsibilities
- Overseeing general office operations, including technology, office, insurance, HR, and policies.
- Relationship-building and world-class service delivery to program participants, donors and partners
- Overseeing budgets, accounts payable/receivables, annual audit and financial reporting
- Supervise bookkeeper and lead recruitment efforts for other staff
- Assist with compliance with public sector grants
- Assist with Corporate and Donor Communication and Marketing, and play a leadership role in planning fundraising events and developing and maintaining content for website.
- Relationship building with donors and partners.
- Responsible for all data management and reporting
- Occasional evening and weekend work is required to provide in-person support to events
Essential Skills and Requirements
- Proficiency in Microsoft Office suite of products and databases, preferably Salesforce and Mailchimp
- Knowledge and interest in educational matters, business matters and program management
- Creative problem-solving and analytical skills
- Ability to prioritize effectively
- Very flexible and easily able to adapt to changing priorities
- Excellent interpersonal and persuasive skills (verbal and written).
- Must be able to drive occasionally for office supplies/needs using own insured automobile; valid driver’s license required
- Strong work ethic and drive to succeed, with ability to excel in a fast-paced and high-pressure environment.
- Demeanor is high energy, personable and enjoys talking to people
- Ability to work in a team environment and sustain positive relationships with individuals from diverse backgrounds, including corporate staff, board members, nonprofit staff, government officials, community representatives, and people who have special needs and/or are from low-income households.
- Bilingual (English/Spanish) is a plus, to interact with program students and families
- Must pass a background screening check
- COVID-19 vaccination and booster will be required
Education and Experience
- Bachelor’s degree required
- Experience with bookkeeping, accounting, or financial reporting
- Demonstrated success managing multiple priorities and projects
